Notice to Clients

Please check your itinerary and/or documents when you receive them. Call us immediately if you have any questions. Retention of tickets, reservations or booking after issuance shall constitute acceptance of all the provision in the conditions listed hereto as well as those terms and conditions set forth in the announcements and brochures of the tour/packages, cruise or service.

Air
: Reconfirm your flights directly with the airline 24 hrs prior to flight.
FAA requires government issued picture ID at check-in. The name on the ID must match the airline ticket name.
Minimum check-in time for domestic flights is 90 minutes and for international flights 2 hours.
Airlines may release your seat reservation and/or assignment 30 minutes prior to departure and you may be denied boarding.
Airfares are based on advance purchase, carrier, flight, time and routing. Changing any of these could result in an increase of airfare up to full fare, plus change penalties. This agency and its agents have endeavored to secure the lowest possible fare, suitable for your travel requirements, based on space available at the time of booking, accessible sources of information and knowledge of the agents involved. This agency cannot guarantee that the fare will be the lowest possible fare at departure date. Please contact us before departure if you wish to recheck airfares.
International Travel: DOT is requesting airlines obtain an emergency contact name and telephone number for all international travelers. It is the travelers' responsibility to obtain proof of citizenship, passports, visas, vaccinations, and health requirements of the country of origin and destination. The official source for this information, as well as travel advisories, is the U.S. State Department 202-647-5225 and foreign embassies. The King County Health Dept 206-296-4772 or Center for Disease Control (CDC) 404-332-4559 can answer questions about travel health. Some health insurance programs are invalid during international travel, check your policy.
Additional taxes may be due and collected at the airport.
Mexico & Canada: Minors traveling to Mexico or Canada without both natural parents, requires written and notarized permission from the non-accompanying natural parent.  Canada immigration will deny entry to those convicted of a DUI. Proof of citizenship is required for U.S. citizens for travel to/from Mexico or Canada.
Frequent Flyer: Program numbers should be verified with the airline at check-in. Retain passenger receipt of tickets AND boarding passes until mileage credit appears on your statement. Copies of tickets issued by Capitol Hill Travel can be obtained for a $10 fee.
Airline Bankruptcy: If an airline declares bankruptcy, it is not obligated to carry you or to refund tickets issued before filing bankruptcy. Travel agents are not allowed to refund tickets. Money given to a travel agent immediately becomes the property of the airline. An airline that declares bankruptcy might continue service, limited service or stop completely. Other airlines might accept passengers but are not required to honor your ticket. Travel insurance purchased before the airline declares bankruptcy will protect your travel investment.
Car Rentals: Rates are based on 24-hour periods; extra hours and extra days have an additional charge. Car rental rates do not include gas, taxes, required and optional insurance, additional driver or young driver fees. Rentals are subject to age, drivers’ license, credit and driving record, and proof of personal car insurance requirements of the car rental company. A major credit card in the driver’s name is required. Additional restrictions may also apply.
Hotel Reservations: Hotels are usually confirmed on a guaranteed payment basis. If you cancel or change plans, please notify the hotel(s) within the time period specified by that hotel to avoid cancellation penalties. Some hotels may charge early check out fees. Agency charges a $10 cancel or change fee
Packages and Cruises: Prices are subject to change until paid in full, and are subject to change due to currency fluctuations, increase in taxes, and operational costs. Group tours / packages are based on a minimum number of passengers traveling. If the number of passengers falls below the minimum, a surcharge may be imposed on all passengers, or the departure may be cancelled with refund. Agency charges additional $100 for cancellations, and $25 per person for changes.
Travel and Cancellation Insurance: Capitol Hill Travel has various insurance coverage available: Trip Cancellation; Emergency Medical, Evacuation, and Assistance; Travel Accident and Sickness; and Baggage Insurance. We strongly suggest trip cancellation insurance to protect your travel investment due to trip interruption or supplier default.
Consumer Disclosure Notice (Part of contract of service) This Travel Agency is acting as a mere agent for suppliers (identified on the accompanying documents) in selling travel-related services, or in accepting reservations or bookings for services that are not directly supplied by this travel agency (such as air and ground transportation, hotel accommodations, meals, tours, cruises, etc.) Travel Agency, therefore shall not be responsible for breach of contract, failure to comply with any laws, such as the Americans with disabilities act (ADA) or any intentional or negligent actions of omission on the part of such suppliers, which results in any loss, damage, delay, inconvenience, or injury to travelers or travelers' companions or group members. Unless the term "guaranteed" is specifically stated in writing on your tickets, invoice, or reservation itinerary, Travel Agency does not guarantee any of such suppliers' rates, bookings, reservations, connections, scheduling, or handling of baggage or other personal effects. Travel agent shall not be responsible for any injuries damages, or losses caused to any traveler in connection with terrorist activities, social or labor unrest, mechanical or construction failures or difficulties, disease, local laws, climatic conditions, criminal or abnormal conditions or developments, or any other actions, omission, or conditions outside the travel agents control. Traveler assumes complete and full responsibility for, and hereby releases the agent from, any duty of checking and verifying any and all passport, visa, vaccination or other entry requirements of each destination, and all safety and security conditions of such destinations, during the length of the proposed travel. By embarking upon his/her travel, the traveler voluntarily assumes all risks involved in such travel, whether expected or unexpected. Traveler is hereby warned of the above risks as well as possible travel industry bankruptcies and medical and climatic disruptions, and the possibility traveler may be unable to travel as scheduled because of personal emergency. Traveler is advised to obtain appropriate insurance coverage against these risks, information is available through this Travel Agency regarding travel insurance.

STATE OF WASHINGTON SELLERS OF TRAVEL LAW

Pursuant to current state law, a number of details have been presented to you on invoices, travel documents and marketing materials. They include our registration number, complete cancellation, deposit and payment policies, complete package inclusions, suppliers used such as transportation companies, specific hotels and resorts. We have made a conscious effort to be as clear as possible and comply completely with state law. If you are unclear with any portion or detail of your trip, please call us. This statement is required by the state: If transportation or other services are cancelled by the seller of travel, all sums paid to the seller of travel for services not performed in accordance with the contract between the seller of travel and the purchaser will be refunded within thirty days of receiving the funds from the vendor with whom the services were arranged, or if the funds were not sent to the vendor, the funds shall be returned within fourteen days after cancellation by the seller of travel to the purchaser unless the purchaser requests the seller of travel to apply the money to another travel product and/or date.
